Employer Description

Maclin Sourcing Solutions supply cleaning chemicals, medical & hygiene products. There is an exciting opportunity for an Administrator Apprentice to join the team.

Main description 

The description below is a summary of activities but are not necessarily all inclusive & all-encompassing but serve as a general guide to activities deemed relevant to the role.

Business Administration:

Manage existing E commerce trading platforms.
Liaise with warehousing to ensure web orders are accurately & timely “pick packed” & meet consignment deadlines.
Constantly refine Product Listings to maintain & grow sales and profit, on eBay and Amazon
On completion of orders, ensure prompt Electronic despatching of orders via the various online systems
Accurate filing.
Raise appropriate Invoices/Delivery Notes as may be required on the Quickbooks Accounts system
Manage product availability & stock of listings on eBay and Amazon


Learn how to use diligently use QuickBooks.
Raise invoices either from customer PO or from telephone order.
Enter bills based on suppliers’ invoices.
Update key customer details and practice good record keeping.
Take card payments over the phone using MySagePay.
Learn all workplace procedures for good bookkeeping and ISO 9001 record keeping.

Other General Activities:

Promptly responding to enquiries whether by e-mail, ‘phone, mobile or mail.
Prompt answering of telephones.
Develop good, professional relationships with colleagues..
Use & develop in-house product knowledge library & be able to offer basic
Take in & check deliveries against paperwork, match to purchase orders
documentation where required & file accordingly.
Be prepared to open & close building, Assist with maintenance & cleanliness of the facilities.
Assist with Trade Shows/Exhibitions as required inc. travel & overnight stays.
Any other ad hoc business related activities as may be required.
Trend Sales x sector on graphs
Assist with month end stock checks.

Entry requirements

GCSE in maths and English at grade 6, or above, is essential.

Things to consider

This is an office based role and will largely be desk based. We are located on a small indusial estate in a village on the outskirts of Buy St Edmunds, and there is no public transport. If you do not hold a driving license, we would consider being flexible with hours depending on your transport.
