This is a fantastic opportunity to join Milestones Hospital during a period of growth and expansion, the successful candidate will complete a full administration role within the hospital with fantastic progression routes available.

40 hours a week – Monday – Friday 09:00 -17:00hrs. Total hours per week: 40.00.

14 months apprenticeship.

Duties will include:

  • Answering the telephone during office hours
  • Recording messages left for staff in an accurate manner and ensuring that they are brought to the timely attention of the intended recipients
  • Support and monitor development of effective operational systems
  • Recording messages left for staff in an accurate manner and ensuring that they are brought to the timely attention of the intended recipients
  • Processing and recording petty cash transactions as they relate to receipts by and payments from the company.  Reconcile and balance the petty cash regularly and accurately
  • Maintaining effective systems of filing and electronic document storage ensuring prompt access as required whilst being mindful of the issues of both corporate and clinical confidentiality
  • Photocopying, scanning and preparing documents to a professional standard
  • Preparing agendas, minutes & correspondence for meetings on request and ensure that all meetings are smoothly co-ordinated.  Meeting locations are prepared to a professional standard and that refreshments are readily available.
  • Create and modify documents using Microsoft Office
  • To actively participate in MHA administration duties under direction of the HR & Office Lead and develop knowledge in required areas of the laws relating to the Mental Health Act and Mental Capacity Act
  • To actively participate in the co-ordination and arrangements of meetings
  • Support and assist the Hospital Manager in any clinical or operational duties
  • Carry out frequent audits of the key, radio and alarm systems ensuring security procedures are met
  • Prepare and collate information for Surveys
  • Maintaining electronic diaries, ensuring effective use of time
  • Learn and develop knowledge of health and safety systems
  • Participate in staff meetings, consultations and open forums
  • Co-operate with and actively participate in mandatory and professional development training
  • Co-operate with and actively participate in the staff appraisal process.
  • Acting always in such a manner as to ensure the well being of patients in the care of the hospital
  • Acting always in such a manner as to facilitate smooth and effective relations amongst staff
  • Develop and maintain knowledge of the Policies and Procedures of Milestones and working at al times in accordance with them
  • In absence of other administrative staff, acting first point of contact to those accessing Milestones by telephone, greeting visitors to the Hospital and ensuring they are appropriately directed.  Allocating visitors to appropriate areas
  • Undertake any other reasonable duty at the request of the Management Team
