The Apprentice will carry out tasks for the Senior Leadership Team and the Governing Body of the school and work alongside a member of the Enhanced Finance Team from the Local Authority. You will work in an office environment using the school’s systems and equipment and will be required to work in line with our organisational procedures.

What you will do in your working day
Front of House Duties:

To meet and greet visitors to the school in a polite and professional manner
Ensuring that all aspects of our welcome procedures such as ID checks and signing in are completed in line with school procedures
To answer the telephone in a polite and professional manner. Ensuring accurate messages are taken and passed on to the relevant staff
Ensuring the office is organised, tidy and all confidential documents are correctly stored and out of sight
General Communication Support:

To monitor the main administrative and business email accounts. Ensuring that all emails are acknowledged and passed on to the relevant members of staff
To answer the telephone, pass messages and make calls to parent/ carers when required
To use the school’s text system to send messages to parents and members of staff
To use the school’s email system to communicate with parents/ carers including sending letters
To update and manage the school’s social media presence
Attendance Admin Support:

To check the school’s attendance registers, ensuring information is complete and updating the information on the schools IT based attendance system
To record the information that parents/ carers provide when reporting absences via the telephone and email systems and enter the relevant codes on the main registers and IT system
To process holiday request forms ensuring that they are passed to the Headteacher for decisions, notifying the parents/ carers of the outcomes and updating the attendance registers and the school’s attendance IT systems
School Meals Admin Support:

To be the link between the school, off-site kitchen and the catering company to ensure the smooth running of the daily school meals
To collate the daily dinner orders and contact the off-site kitchen facilities to provide numbers
To record the meals taken each day on the online payment system (School Money)
To provide information to the catering company about the numbers of each type of meal taken (Free School Meals, Paid, Universal Infant Free School Meals, Staff) on a weekly basis
Breakfast Club & After-School Admin Support:

To open Breakfast and After School club bookings half termly
To create physical attendance registers from the online bookings weekly
To take and manage additional bookings made via telephone or email and update attendance registers
To use the online payment system (School Money) to chase overdue payments and, if parents do not respond to these reminders, make follow up calls or email reminders
Extra-Curricular Clubs Admin Support:

To open club bookings when required
To create physical attendance registers from the online bookings
To take and manage additional bookings made via telephone or email and update attendance registers
To use the online payment system (School Money) to chase overdue payments and, if parents do not respond to these reminders, make follow up calls or email reminders
Educational Visits Admin Support:

To manage the online Evolve Educational visits system for consent and payments for educational visits
To seek coach quotes for educational visits and make the relevant bookings
Finance Support:

To place online orders with selected suppliers as needed
To use excel spreadsheets to maintain and track aspects of spending related to ring-fenced funding sources and provide half-termly reports to the Headteacher
To work alongside the LA Enhanced Finance Officer on aspects of school finance management

The training you will be getting
Business Administrator Level 3 Apprenticeship Standard:

You will be expected to undertake a range of business administrator related tasks and projects to support the ‘front of house’ and business management aspect of the school’s work, whilst working towards your Business Administrator Apprenticeship qualification
You will be committed to doing the work required for your apprenticeship; this includes attending training and working with support to produce evidence of the skills and knowledge you are required to successfully complete for your apprenticeship

You will play an active role in providing support on a diverse range of projects, working with a variety of officers across the organisation.
